1. Introduction

This Privacy Policy describes how DocMind AI ("we", "our", or "the App") handles your information. DocMind AI is an on-device artificial intelligence chat and document assistant application for iOS and macOS.

2. Information We DO NOT Collect

DocMind AI is designed to respect your privacy. We DO NOT collect, transmit, or store any of the following:

• Personal Identifying Information: No names, email addresses, phone numbers, or contact information
• Chat Conversations: Your messages and AI responses stay on your device
• Documents: Any files you upload or process remain local
• Usage Analytics: No tracking of how you use the app
• Crash Reports: No automatic crash or error reporting
• Device Information: No device identifiers, IP addresses, or location data
• Behavioral Data: No profiling or behavioral tracking

3. Data Stored Locally on Your Device

All data is stored exclusively on your device using Apple's SwiftData framework:

3.1 Chat Data

• Chat threads and conversation history
• Messages (user and AI assistant responses)
• Custom system prompts you create
• Thread metadata (titles, creation dates, tags)

3.2 Document Data

• Documents you choose to attach to conversations
• Document embeddings (mathematical representations for AI processing)
• Extracted text and metadata from your documents

3.3 App Settings

• Your selected AI model preferences (Apple Intelligence or MLX models)
• Model download status and cache
• In-app purchase status (unlimited use entitlement)
• Free upload usage flag

Important: All this data is stored only in your device's local storage. It is never synchronized to the cloud or transmitted to any server.

4. Third-Party Services

DocMind AI uses minimal third-party services, all of which are Apple-provided or privacy-respecting:

4.1 Apple StoreKit

For in-app purchases, we use Apple's StoreKit framework. When you make a purchase:

• Transaction data is handled entirely by Apple
• We only receive confirmation of purchase entitlements
• We do not collect or store payment information

4.2 HuggingFace Model Downloads

When you download AI models (Qwen, Llama, etc.) through the MLX Swift framework:

• Models are downloaded directly from HuggingFace's content delivery network
• This is a one-time download per model
• HuggingFace may log the download request (standard CDN practice)
• No personal data or chat content is ever sent to HuggingFace

4.3 Apple Intelligence (Optional)

If you choose to use Apple Intelligence as your AI model:

• Processing occurs on-device when available
• Apple's own privacy policies and practices apply
• We do not control how Apple Intelligence processes data
• Refer to Apple's documentation for Apple Intelligence privacy details

5. How Your Data is Protected

5.1 On-Device Processing

All AI inference (generating responses, processing documents, creating embeddings) happens entirely on your device using:

• Apple Intelligence (when selected and available)
• MLX Swift framework with locally downloaded open-source models

Your conversations and documents are never sent to external servers for processing.

5.2 Local Storage Security

• Data is stored in your device's application sandbox
• Protected by iOS/macOS system-level security
• Encrypted at rest if you have device encryption enabled
• Only accessible by DocMind AI and system backups

5.3 No Cloud Sync

DocMind AI does not sync your data to iCloud or any other cloud service. Your data remains exclusively on the device where it was created.

6. Data Retention and Deletion

6.1 You Are in Control

• Delete individual messages or entire chat threads at any time
• Remove documents from chat workspaces anytime
• Uninstalling the app permanently deletes all app data

6.2 System Backups

Your DocMind AI data may be included in:

• iOS/iPadOS device backups (iTunes or Finder)
• macOS Time Machine backups

These backups are controlled by you and Apple's operating system, not by DocMind AI.

7. Children's Privacy

DocMind AI does not knowingly collect any information from anyone, including children under 13. Since all processing is on-device and we collect no data, the app can be used by all ages. Parents should supervise children's use of AI tools.

8. International Users

DocMind AI is available worldwide. Since all data stays on your device, there are no cross-border data transfers. The app complies with privacy regulations including:

• GDPR (European Union): No personal data processing or collection
• CCPA (California): No sale of personal information
• Other jurisdictions: Privacy-by-design approach respects all major privacy laws

9. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. If we make material changes, we will:

• Update the "Last Updated" date at the top of this policy
• Notify you through the app or App Store update notes
• For significant changes, request your consent if required by law

Continued use of DocMind AI after changes constitutes acceptance of the updated policy.

10. Your Rights

Since DocMind AI does not collect your data, traditional data subject rights (access, deletion, portability) are inherently satisfied:

• Right to Access: All your data is on your device, accessible through the app
• Right to Deletion: Delete conversations and data directly in the app
• Right to Portability: Your data is stored in standard formats on your device
• Right to Object: Not applicable as we don't process your data externally

11. Open Source and Transparency

DocMind AI uses open-source technologies:

• MLX Swift framework (Apple's open-source ML framework)
• Open-source language models from HuggingFace (Qwen, Llama, etc.)

This ensures transparency and community verification of privacy practices.
